Below is a general outline for informative purposes of the procedures Evans Studios follows from start to finish for the duration of a design project. These basic guidelines are in line with our full scope of works which are discussed in greater detail with the client during our consultations and throughout the design process.

Evans Studios offers an initial consultation to discuss the client’s aspirations for their project. During the meeting we will walk through a complete breakdown of the full scope of works and services Evans Studios can provide and the stages at which we invite client involvement. Preliminary discussions on the project budget will aid in determining the scale and feasibility of the project. From here, a fee proposal and preliminary budget for the project will be issued to the client for approval.

Following on from the client signing the Engagement Agreement, the project will then commence.

Pre-Design

Firstly, Evans Studios needs to obtain a design brief. The objective of the brief is to find out what the client wants and how they want to live in it. At this stage, sharing information and discussing the client’s vision is essential to creating a good brief and to be able to understand the full requirements of the design.

Evans Studios will provide a standard form and checklist to assist in creating the brief and to outline the goals of the project clearly. Consideration must be made about time, quality and cost of the project as these variables will influence and determine the direction of the project.
Next we will make initial inquiries into authority regulations, planning requirements and investigations into the site will begin by assessing conditions and restraints.

Concept Design

Through its conceptual development, the project will come to life as Evans Studios considers the brief, budget and site conditions. Several design options are explored and transformed into various creative solutions. The concepts can be developed in various forms such as a series of sketches, floor plan and perspective sketches or computer models. At this point we will present the best concept to the client and once approved, a preliminary estimate of “Cost of Works” will be arranged and approved before proceeding to the next stage.

Developed Design

The approved concept design is then developed and documents are created to present to the client to sufficiently explain the developed design. Provided alongside the developed design is a schedule of proposed materials, fixtures and finishes. Again, the design is reviewed against the “Cost of Works” and client approval will be required. Other consultants such as engineers (if required) are coordinated at this stage to obtain the best solution for the project.
Communication is a key role at this stage of works as revisions of the design will occur here and will be the last major opportunity to refine the overall character of the design.

Planning Approval

Should the need for town planning approval be required, an application will be made and submitted. Local authority approval will be required before proceeding.

Detailed Design / Construction Documentation

This stage advances the design to a level of detail including the addition of further detailed drawings, specifications and schedules that allows for statutory approval to construct the project. At this point, the document set is complete and is possible for construction contractors to assess the full scope of works. A pre-tender estimate of the “Cost of Works” is also prepared and once approved with the full document set, it will form the Building Permit Documentation set.

Tendering

Discussions will be held with the client on the preferred tender process and recommendations are made for building contractor selection. The tender documents are then issued and responses given to inquiries from tenderers. Assessment will be made of the received tenders and reports of tenders will be prepared with recommendations for client acceptance.

Contract Administration

At the commencement of this stage, the contract documents are prepared and arrangements are made for the signing and execution of the building contract. As part of this role, Evans Studios will regularly report to the client regarding, time, cost and progress of the project. Site visits will be undertaken periodically to observe the general conformance of the building works in respect to building contract documents and instruct the building contractor regarding design quality controls where required.

As Contract Administrator, Evans Studios assesses variations, progress claims, instructs the building contractor in regard to incomplete work and rectification of defective work and issues the relevant certificates at the required stages.
